DUNFORD PARISH COMMUNITY ASSOCIATION

Minutes of the Meeting Held on Tuesday 10th February 2009 at 7.00 p.m.

 at The Parish Community Centre

1.                   Apologies

Apologies were received from Lynn Goldthorpe, Stuart Mosley and Dorothy Mosley

2.                   Minutes of Meeting Held on 23rd September 2008

The minutes of the meeting held on 23rd September 2009 were accepted as a true record and approved.

3.                   Matters Arising:

            a)         Health and Safety – Risk Assessment

The risk assessment is still to be carried out, will be mentioned to council Mick Drewery.  Barbara Cockburn to discuss with Mick Drewery this week.

            b)         Health and Safety – Food Hygiene Course

                      Course discussed.  Mary Horn and Mary Smith both had certificates but these have expired.  Edward Stirk has been on STEPS course. More information is to be obtained regarding Food Hygiene Course – agreed this is a requirement – Barbara Cockburn to look into this further.

            c)         Agreement Between DPCA and Dunford Parish Council

Already agreed and signed off.

            d)         Fault with Cooker

Replacement cooker still to be sourced.  The Committee members all agreed to continue to keep an eye out for a cheap replacement at a cost of no more than £100.00.

            e)         Trustee Information

Need to obtain an idiots guide to Trusteeship from Internet to be distributed to all members.

            f)          Amendments to 6th January, 2009 minutes

Minor changes to 6th January, 2009 minutes to be approved at next meeting.

g)         Penistone Community Partnership

                        Helps to obtain funding.  No charge to join.  No benefit without joining.

4.         Treasurer’s Report

            Darren presented the Treasurer’s report. It was noted that since the last meeting the cash funds available to the DPCA are £4298. Policy in place for contingency fund of £1,000, this gives surplus cash of £3,298.           

            Items to be looked into to benefit community using surplus cash including Maintenance etc.

            Accounts passed as true & accurate.

5.         Gala – Arrangements for the 2009 Gala

           

            25th July, 2009 provisional.

            Things to think about –Person to open Gala (Ideally someone to bring in extra people) 

Tom Horsefield? Mrs Dickinson & Band?

Classic Cars Event (Edward Stirk to contact friends again – good event last year)

Pony Club demonstration?

Pig Roast

Advertising / Website

More arrangements to be made at next meeting.  Stall holders to be contacted etc.           

6.         2009 Diary of Events

            Next meeting discuss dances etc

7.         Bookings

Possible booking for Dancing Class – Several weekends awaiting visit.

Hepworth U13 Football Club (Not in Dunford Parish) looking to train 2 nights/week + matches + Kitchen.  Put posts & pitch up & cut grass.  (Currently paying £200/£240 per year for Sept to April/May more detailed information required.

Various other bookings confirmed.

8.         Funding Requests

It was suggested by Alan Pestel at the Council meeting that DCPA take on all funding for Residents Association.  All in agreement that we do not want to take this on.

Full requirements for future grants to be ascertained and understood prior to acceptance. (following problems with Ceiling grant).

9.         Any Other Business

            a)         Bar & License

Small parties under 50 Steve the Barman is OK with hirer supplying own drink.  Over 50 Bar to be booked with Steve and charge for bar to be agreed with him.

            b)         Schedule of outgoing overheads.

                        Current regular costs: Insurance, Bins service, Fire & Safety Checks.

                        About £1,000 required.  (No services or cleaner to pay)

            c)         Priority Maintenance Schedule

                        Window in mens toilets to be planed/repainted.

                        Window in office loose to be checked.

                        Bow in front of building to be investigated when better weather.     

10.        Date and Time of Next Meeting

The next meeting will be held on Tuesday 3rd March 2009 at 7.00 p.m. in The Parish Community Centre.

There being no further business, the meeting ended at 9.00 p.m.
